Welcome to the September 2024 Product Update!

Find out about the latest features and improvements weโ€™ve brought to Dentally this month ๐ŸŒŸ

You can use the below buttons to navigate to specific sections, or browse the whole Changelog at your leisure! ๐Ÿฆท

Key for your reference:

๐Ÿ†• New | ๐ŸŒŸ Improved | ๐Ÿ› Bug Fix | ๐Ÿ‘จโ€๐Ÿ’ป Beta

All regions ๐ŸŒŽ

๐Ÿ†• New: Updated appointment finder view

We've significantly improved the existing appointment finder tool, accessible via the magnifying glass button above the calendar.

With improved filtering and a new view, this aims to save you and your patients time, reducing the steps needed to book an appointment, and streamlining the experience.

Plus, you can now search by zone group!

๐Ÿ†• New: Appointment renaming in treatment plan

Appointments in treatment plans can now be renamed to something descriptive instead of โ€œAppt. 1โ€ etc. When creating a new treatment plan, or managing an existing one, simply click the appointment number eg โ€œAppt. 1โ€ and type in a different name!

This is completely optional but could help clinical users when organising treatment plans, and when explaining the plan to the patient, as well as assisting administrative users when booking these appointments into the calendar.

๐Ÿ†• New: Socket selection to update tooth status

It is now possible to update the status of a tooth (unerupted, missing, present, implanted etc) - regardless of whether youโ€™ve enabled Root View in your โ€˜Chart Preferencesโ€™! Simply right click over the tooth socket area and select the new state of the tooth.

This saves time when base charting by allowing quicker access to these tooth states, and allows the user to update tooth state while not in Base Chart mode. Root charting is available to all users, please reach out to our support team to try it.

๐ŸŒŸImproved: Imaging bridge workflow

We know it's important to be able to check that the correct images are being shown for a patient. To assist with this, we have introduced a new workflow - if a conflict is detected between the patient in Dentally and the patient identified by your DI software, there will be a series of prompts to verify and confirm the patient match. This will ensure that any patient conflicts are dealt with early on in the workflow and avoid any potential patient safety issues.

๐ŸŒŸImproved: Recovered clinical notes feature

Building on previous work to improve this feature, where unsaved notes can be previewed and restored, we have added further developments to this feature:

  • We now only preview unsaved changes if they contain a meaningful difference from the original. For example, changes to whitespace (eg spaces or new lines), won't be displayed, whereas characters added or removed would be shown. This should avoid confusion and reduce how often this warning is displayed.

  • We also indicate where the meaningful changes are within the preview text. When previewing the unsaved changes, you can select 'Highlight changes' to show the notes before and the changes made, allowing you to decide if these unsaved notes need to be recovered.

๐Ÿ›Bug Fix: We have fixed a bug where the 'Sort by' options on the treatment lists were being obscured for some users when on the chart screen.

๐Ÿ›Bug Fix: A bug was resolved which caused the 'View options' menu in the Perio exam to close after each selection. Now when the user chooses to change the view settings for pocket depth, recession etc, the 'View options' menu remains open until manually closed.

UK-specific ๐Ÿ‡ฌ๐Ÿ‡ง

๐ŸŒŸImproved: NHS England/Wales contract expiration dates

If your contracts renew annually, there is no longer a requirement to set an expiration date in Dentally, saving you from updating contracts each year. Simply select 'Does not expire' when adding or editing a contract.

๐ŸŒŸImproved: The HSC (NI) fee uplift

The fee uplift of 14th August 2024 has now been implemented, and patient and practitioner fees have been updated in Dentally.

CA-specific ๐Ÿ‡จ๐Ÿ‡ฆ

๐Ÿ†• New: Automatic pending insurance payments

Pending insurance payments will be automatically created against invoices in response to an Explanation of Benefit (EOB). When submitting an insurance claim, if the carrier responds with an immediate EOB, the benefit amount will be automatically recorded against the invoice, marking it as promised by the carrier. This makes it much easier to take only the remaining patient balance when charging the patient.

๐Ÿ†• New: Insurance archiving

You can now archive insurance policies, plans, and even carriers. Instead of having to permanently delete items if you don't need them, we've added the ability to archive policies (along with plans and carriers), and restore them later if you need them.

This means that if a patient is no longer eligible for a policy, it can be put into an archived state where it won't be selectable for claiming, but it can easily be restored if, for example, the patient returns to work and becomes eligible again.

๐Ÿ†• New: Patient and insurance balance merge tags

When creating templates or sending messages to patients, you can now include tags which will auto-populate the correspondence with outstanding patient and insurance balances, separately to the overall account balance. This means you can let the patient know how much they need to pay right now.

  • [patient_full_account_balance] - The patient's account balance (including insurance balance)

  • [patient_full_account_balance_due] - The amount due from the patient and insurance (shown as a positive number if in debit, or 0 if the account is settled or in credit)

  • [patient_insurance_balance] - The patient's insurance balance.

  • [patient_insurance_balance_due] - The amount due from the patient's insurance (shown as a positive number if in debit, or 0 if nothing is owed by insurance)

๐ŸŒŸImproved: Patient/insurance split in reports

Following similar changes in accounts last month, financial reports that list invoice or account balances will now show the split between contributions - with the balance broken down into patient and insurance portions. This will allow you to better understand where money is expected from, and to locate patients with outstanding balances.

๐ŸŒŸImproved: Claims manager searching and sorting

You can now search and sort insurance claims by patient name, making it easier to find the claim you're looking to reconcile.

๐ŸŒŸImproved: Pending payments no longer require a payment type

When entering a pending payment against a patient's account, you no longer need to specify a payment type, if at this point you don't know how it will be paid.

๐ŸŒŸImproved: 'Take Payment' button visibility

The 'Take Payment' button will now always be visible when viewing a patient or family account. If you select an invoice when viewing a patient's account, no matter how many invoices are in the table, the 'Take Payment' button will appear at the bottom of your current window and always stay in view as you scroll.

๐Ÿ›Bug Fix: We have fixed a bug where the โ€˜Saveโ€™ button wasnโ€™t immediately available to users when trying to change plans. Where previously the button sometimes wasn't available unless you made more changes, you can now always save immediately.

๐Ÿ›Bug Fix: When discounts were applied, they were rounding to the nearest 10c. For example, entering a discount of $1.41 before would have rounded to $1.40, but this has been resolved and the amount will stay exactly as entered.

๐Ÿ›Bug Fix: There was an issue where the payment method wasn't always set correctly when bulk reconciling insurance payments. This caused all payments to be recorded as 'Insurance', and did not update to 'Direct Deposit' or 'Cheque' if one of these values was selected. We've fixed this issue so payments will be easier to track going forwards.

๐Ÿ›Bug Fix: We have fixed an issue where, in rare cases, it wasn't possible to delete an insurance policy that hadn't been used. This has been resolved, so all unused policies can be deleted. Policies that have had non-zero EOBs for a claim or predetermination can instead be archived.

๐Ÿ›Bug Fix: Before, a provider's name was getting cut off on the manual claim form if it was too long. We've extended the maximum length of the provider's name when printing a manual claim form, so longer names will no longer be cut off.

Dentally Portal ๐Ÿ“ฒ

๐ŸŒŸImproved: Portal performance

We have implemented several performance enhancements to improve the patient experience. These updates include faster load times and improved responsiveness, helping us to deliver a more efficient and seamless experience for your patients.

๐ŸŒŸImproved: Concierge speed

We've enhanced the speed of the patient check-in process on Concierge, making it over 80% faster. Patients can now check in at the practice more swiftly and efficiently, providing a smoother and more convenient experience.

๐Ÿ›Bug Fix: We've resolved an issue which was not marking the patientโ€™s appointment as 'Arrivedโ€™ when checking in on Concierge in the practice.
