How to use zone grouping to search for calendar availability

How zone groups work, why they're important for your booking workflow, and how to set them up.

What are zone groups?

Grouping zones means linking zones (previously called sessions) of similar types together. For example, if you have several emergency zones for different practitioners/payment plans, or if you have one called 'Emergency' and one called 'Emergencies' - you can group them together.

This is useful when using the appointment finder to book appointments - the 'Zone Groups' filter allows you to include or exclude zone groups when looking for a suitable slot, so it's essential to group your zones in order to make use of this feature.

Why do I need to group zones?

We understand that practices sometimes have multiple zones for a single purpose - such as several 'emergency' zones for different practitioners/days of the week/payment plans.

In order to benefit from the search functionality, you'll need your zones to be in groups, as only these will show in the search dropdown.

You will be able to choose just one zone type rather than selecting every applicable zone - resulting in a more efficient booking workflow πŸŽ‰

πŸ’‘ Top tip: Zone groups also allow you to account for accidental duplicates or typos (such as having both an 'Emergency' zone and an 'Emergencies' zone).

How do I group zones?

First you will need to create zone groups.

  • Go to 'Settings' > 'Diary' and scroll to 'Zones'.

  • In the top section, click 'New zone group'.

  • Here you can name the zone group, and make as many groups as you need. When you're finished, click 'Save'.

  • You can edit zone groups by clicking the three dots on the right-hand side of the chosen group.

Once you have set up zone groups, you will need to add new and existing zones to your zone groups.

  • In 'Settings' > 'Diary' > 'Zones', you will find 'Zones' underneath the 'Zone groups'.

  • You can create a new zone or open an existing one to edit it by clicking the πŸ“ pen symbol on the right.

  • In the zone's settings, open the 'Zone group' dropdown and choose the group you wish to assign the zone to.
