How to use the Analytics Dashboard - Practitioner Utilisation Report

The practitioner utilisation forecast on the Analytics dashboard provides valuable insight into how full your practitioner's diaries are in the near future.

Utilisation is a key driver in the success of your dental practice. High utilisation means more patients are treated and potentially higher revenue. The opposite is true when utilisation is low.

The forecast allows you to understand where utilisation is low ahead of time, allowing you to take action to fill available space before it's too late.

The forecast looks ahead 28 calendar days, however only the days where your practice is open are displayed unless a practitioner has availability on a closed day.

If your practice is open Monday to Friday you will see will see 20 working days displayed in the chart. If one of your practitioners has availability on a Saturday morning, then that Saturday will also appear, giving you 21 days in total.

The chart is colour-coded to provide a visual indication as to the utilisation of each practitioner on each day. The darker the colour, the more utilised the practitioner is on a given day. If the colour is lighter, then there is available time on that day that could potentially be filled by further patient appointments.

By hovering over a day in the chart a breakdown of the day is provided. The breakdown shows:

  • The % utilisation (displayed as a round number in the box on the chart)

  • The number of utilised hours/mins the practitioner has

  • The number of un-utilised hours/mins the practitioner has

  • The total amount of time the practitioner is working that day

Clicking on the day at the top of the chart will navigate you to the calendar for that day.

How is available time calculated?

The available time for a practitioner matches that of the calendar. If the calendar shows a practitioner as working 9 am-5 pm on a given day then the total available time for that practitioner in the chart for that day will be 8 hours. (How calendar availability to determined.)

Are breaks excluded from available time?

Breaks that are created as part of a practitioner schedule are excluded from available time. How to set up schedules and breaks. If an appointment without a patient has been used (either individual or recurring) then these will NOT be deducted from available time.

๐Ÿ’กTop tip: We highly recommend setting a schedule for each practitioner and including their regular breaks to ensure accurate utilisation calculations.

What classes as utilised time?

Only appointments in the calendar that have a patient associated are counted towards utilised time. Any appointments in the calendar that do not have a patient attached is classed as un-utilised time.

If there are overlapping appointments or breaks in the calendar, the chart calculates the elapsed time rather than the total time. Example: an appointment at 10:15-10:45 and another at 10:30-10:45 will show 30 minutes utilised.

How can utilisation be over 100%?

This can happen if the practitioner has a full calendar for the day and has appointments placed outside of their available hours.
