Understanding the practitioner utilisation dashboard - how to find it, when it is useful and how to get the most out of it.

How do I access the practitioner utilisation dashboard?

To find the practitioner utilisation dashboard:

  • Open your main Dentally dashboard as normal.

  • Click the dropdown in the top left corner of the main dashboard.

  • Change the dropdown to 'Analytics'. You will now see the analytics dashboard which includes practitioner utilisation data.

What does the practitioner utilisation dashboard show?

You can see how busy each practitioner is on any specific day, as well as how busy the practice overall is.

This can be useful for planning in team meetings, and noting when your practice has a lot of white space - as well as identifying quiet periods in which to do administrative tasks.

You can use the dashboard to get an overview of how much practitioners are being booked, to identify trends, or to identify if practitioners are being over-utilised to avoid burnout.


How do I use the practitioner utilisation dashboard?

  • The colours relate to the percentage of the working day that is filled with appointments - a yellow square would mean the practitioner has very few appointments booked, while a dark purple square means the practitioner has a very busy day.

  • If you hover over a square, a pop-up will appear showing:

    • Utilised time: The total hours booked in the calendar that day.

    • Bookable time: The total hours of white space available for bookings.

    • Total working hours: The total hours the practitioner is is working that day (calculated by the practice opening hours and any schedules/override in place).

  • You can click through to the calendar from the dashboard if you want to see details - simply click on the chosen date at the top of the dashboard and you'll be taken to that day in the calendar.


How can I get the most accurate practitioner utilisation?

A few important things to remember about the practitioner utilisation dashboard:

๐Ÿ’ก Top tip: We don't recommend using 'fake' recurring appointments to block time out in your calendar, as this can lead to inaccurate utilisation reporting, showing practitioners as booked when they aren't.
