Let's use the Appointments report to find patients that cancelled and failed to attend an appointment where no future appointment is booked

How to filter the Appointments report for cancelled and FTA/DNA patients?

It is often useful to know how many patients cancel, their reasons for cancelling and if they have future appointments booked. This can be a great way to fill any white space in your diary whilst ensuring you retain patients who have failed to attend.

  • Go to 'Reports' and scroll to the appointments section.

  • Click on the 'Appointments' report.

  • Chose your date filters, you can choose either the 'Appointment' date or the 'Booked' date. For finding patients that have no future appointment booked, we recommend using the 'Appointment' date.

  • Select the 'Date range' you wish to report on.

  • Set your 'Location' if you have more than one site.

  • Set the 'Status' filter to 'Cancelled', or 'Did Not Attend'

  • Finally set 'Future' to 'without future appointments booked' this will only show you patients who cancelled or failed to attend in the time frame you have chosen without another appt in the diary.

  • You can of course filter this even further with the other filters on the left handside fo the report. However the ones mentioned above are the key filters to use to get the information required to get the information on cancelled/failed appointments with no future appt booked.

  • The report will automatically update as you choose your filters.

  • You can then export the data from the report using the 'Export' button. This will put your data into a spreadsheet where you can further filter or action your list.
