What about practices with standalone DI imaging?
Practices with standalone DI software are not eligible for conversion, as there is no patient identifier to link images to Dentally.
Why aren’t all patient records included in the conversion?
Only verified records are migrated. This ensures accuracy by:
Confirming images are stored correctly.
Verifying authenticity and integrity.
Ensuring historical records contain relevant images.
Providing a report of unverified records for manual review.
How do records end up in the conversion report?
Unverified records may fall into categories such as:
Patient name mismatches
Unmapped records => Patients Not Found
Unconfirmed records => Patients To Review
No image records => Patients Without Images
Failed to load (unsupported or encrypted files)
What is included in the conversion report?
The conversion report or the unmapped report, details which records were converted and which were not. It includes:
Summary of total verified images.
Source insight => Patient Search
List of unverified records and their status.
Inactive patients with images (inactive patients in Dentally that will/have received images as part of the image conversion)
What are the legal responsibilities for image retention?
It is the customer's responsibility to retain patient medical records. Unconverted records remain the practice’s responsibility for alternative storage.
How long does the conversion take?
Depending on data size and internet speeds, conversions can take up to two weeks.
Can a practice continue seeing patients during conversion?
Yes. Once the practice is operating in Dentally Vision, new images can be acquired while historic images are converted.
What does the conversion look like to the customer?
Images will gradually appear in the cloud gallery during the process. There will be no pop-up alerts.
Can multi-site practices be supported?
Yes. For shared databases, an unmapped patient report is provided after all sites are converted.
Can a specific cutover date be guaranteed?
No. Conversion times depend on data size, internet speeds, and access permissions. While we aim for a target date, precise cutover timing cannot be guaranteed.
Why aren’t image annotations transferred?
Historic annotations would become permanently fixed on images, preventing modifications and the use of features like Pearl AI. To maintain flexibility, annotations are not included in the conversion.
What happens when there’s a mismatch between patient names during image conversion?
When the name in the source imaging system doesn’t exactly match the name in Dentally (e.g., a typo or spelling difference), the image is still imported but with a name mismatch annotation.
This annotation helps you:
Identify discrepancies like spelling errors (e.g., 'John Smithe' vs. 'John Smith')
Confirm the image was assigned correctly, especially when other identifiers like date of birth or patient ID match
Decide what to do next:
If the image belongs to the correct patient, you can remove the annotation
If it was assigned to the wrong patient, you can reassign the image by using the 'Reassign Exam' tool in the image viewer
All name-mismatched images are also included in your image conversion report, allowing you to search and review them later if needed.
