How to process a refund with my integrated card machine?

You can process a refund through your terminal directly from your patient's account screen.

  • Choose the 'Take Payment' button.

  • Enter the amount you would like to refund as a minus amount (e.g., -20)

  • Then choose one of the payment methods compatible with the Dojo terminals (Eftpos, Credit Card, Debit Card or American Express).

If you have activated your Dojo integration, you'll find two options available when processing refunds. You can either:

  • Process the payment via the selected payment method by sending the refund to the card terminal.

  • Record the refund manually in Dentally.

What happens when I process a refund using my integrated terminal?

  • After following the above directions to fill out your refund screen you proceed to 'Process' the refund.

  • The option to 'Process' your refund will establish a direct connection between Dentally and your terminal.

  • This will automatically send the amount to your terminal.

  • The patient is to insert their card to receive the refund.

  • Once successfully refunded, the transaction will be reflected directly on the patient's record in Dentally.

What happens when I choose to record the refund manually?

  • The option to 'Record' the refund allows you to manually record refund within Dentally. (For non-AU users, this will show as a negative -minus- amount.)

  • However, if the refund is being completed via card payment, you will still need to engage with the terminal to input the fee amount and complete the refund transaction process with the patient.
