How to report on wait time and time in surgery on Dentally

You can use the exported Appointments Report in Dentally to show you how long patients are waiting between checking in and going into surgery, and how long they are in surgery.

How to Run and Export the Appointments Report?

  • Go to Reports on the left hand sidebar in Dentally

  • Chose the Appointments Report

  • Then set the filters to report on the correct data.

How to use the report Filters?

If you already know this then skip to the next section here.

Dentally Appointments Report Completed Filters
  • Date

    • Appointment filters by the date the appointment was set to occur

  • Set the From and Until dates

    • To export the report you MUST select 31 days exactly - it cannot be a higher or lower number. If you wanted 3 months' worth of data, you would need to select each month and export each month individually.

  • Select the Location

    • if applicable

  • Set the Status

    • Use Completed (so you only see the statistics for those that arrived for their appointments)

  • Set the Practitioner

    • or you can leave this as All to report on everyone together.

How to export the reports data

As mentioned above you need to export the report to see the waiting time and the duration spent in surgery.

  • once you are happy with your filters

  • click the export button on the top right of the Appointments report screen.

  • this will download and save your report as an excel file on your pc.

  • open this file from your downloads

    • or from where you chose to save this.

  • and then look for columns P and Q on the spreadsheet.

    • they will be labelled Wait Duration and In Surgery Duration

Please ensure that patient confidentiality is maintained throughout. Be careful who has access to this data.

Dentally cannot guarantee the security of any data once exported from Dentally.

The column headings will allow you to see the additional data you are looking for, in this instance. The ones you will want to look at are:

  • Wait duration - how long the patient was in the waiting area - the time between the patient had been marked as "Arrived" and "In Surgery". A minus figure shows the patient arrived and was seen early

  • In surgery duration - the difference between the start of the "In surgery" time and the time the treatment was marked as Completed.

  • You can further filter exported data by Practitioner if you so wish using the filter option within excel itself.
