How to find cancelled or FTA appointments

Can I view a list of all cancelled or FTA appointments?

You can generate a list of all appointments which were marked as cancelled or FTA. This might be helpful to understanding why you have white space in your calendar, as well as identifying patients who may now need to rebook. You can also view specifically those who cancelled/FTA and do not have a future appointment booked, which may be useful if you wish to follow up to fill your diary.

  • In the 'Reports' menu, select the 'Appointments' report.

  • Select the date range you wish to view. You can choose whether this is sorted by date of appointment or date appointment booked - we recommend using the 'Appointment' option if you are looking for patients which have no future appointment booked.

  • Set the 'Status' filter to 'Cancelled' or 'Did not attend', as you require.

    • Selecting 'Cancelled' will create a new filter allowing you to filter by cancellation reason as well, if needed. It will also add a 'Cancelled at' column to the report, showing the exact date and time when the cancellation was marked.

  • If you wish to see only cancellations/FTAs with no future appointment booked, set the 'Future' filter to 'without future appts. booked'. If this is not part of your criteria, leave this filter as 'All'.

  • Apply any further filters as you require.

  • The list will include the cancellation reason where applicable.

  • Click 'Export' in the top right to export the data as a .csv file. You can only export up to 31 days' worth of data at any one time.

๐Ÿ’ก Top tip: It is important to understand the difference between cancelling and deleting appointments. Deleting appointments is not recommended.
