What are permission levels in Dentally?

Permission levels describe the amount of access a user has when using Dentally. There is a default setup (outlined below), or you can choose to customise your permission levels to suit your practice.

If your permission level means you don't have access to a certain function, you will not be able to use that function unless you are given permission by a Level 4 user.

What do you have access to at each permission level?

The following permissions are for UK only. The permission levels for AU/CA users are different, refer to this article for AU/CA permission levels.

Permission Level 0 - No Access

This option means the user will have no access to the system. This is useful for when a member of staff leaves, as it removes their access from the system but keeps their activity log for future reference.Β 

Permission Level 1 - Reception

This access level is usually reserved for receptionists or clerical staff. It allows the user to manage calendars, add appointments, make payments and view all patient details.

Functions that Level 1 users can perform include:

  • Using all functions of the appointment book

  • Adding, editing and contacting patients

  • Taking payments

  • Adding sundry items to an invoice

  • Printing and emailing invoices, estimates and receipts

  • Adding and removing NHS exemption (NHS UK only)

  • Adding pinned notes

  • Creating, emailing and printing correspondences to patients

  • Uploading documents and files

  • Creating and completing tasks

  • Adding medical history and medical alerts

  • Sending medical history links

  • Viewing and printing perio exams

  • Viewing chart history and base chart

  • Checking, archiving and assigning inbox SMS and emails

Reports:

  • Creating patient lists from the 'Patients' report

  • Running the 'Takings' report for the day only

  • Viewing the 'Invoices' report

Permission Level 2 - Standard Practitioner

This access level is often assigned to dentists and hygienists. It includes all Level 1 functionality plus some additional features. Level 2 users cannot see any practice financial reports.

Functions that Level 2 users can perform include all user Level 1 functions plus:

  • Creating Perio exams

  • Creating plaque and bleed exams

  • Uploading images to the chart

  • Reopening treatment plans

  • Creating and editing the base chart

  • Creating, charging and completing treatment plan items

  • Creating estimates

  • Adding and editing template notes

  • For NHS, submitting a treatment plan, triage, prior approval and ortho claim (NHS UK only)

Reports:

  • Sending correspondences from the 'Patients' report

  • View invoice report

  • Viewing the 'NHS UDAS', 'NHS Claims' and 'UDA Forecast' reports (NHS UK only)

  • Viewing your activity on the 'Practitioner Activity' report

Permission Level 3 - Practice Manager

Level 3 is recommended for practice managers and includes all the functionality of Level 2 users plus some additional features. They can see the practice financial reports.Β 

Functions that Level 3 users can perform include all user Level 2 functions plus:

  • Merging duplicate patient records

  • Exporting patient clinical history

Reports:

  • Exporting patient lists from the 'Patients' report

  • Running the 'Takings' report over a specified period

  • Accessing the 'Invoice Timeline' report

  • Accessing the 'Private Forecast' report

Permission Level 4 - Administrator

Level 4 allows all functionality, and is recommended for owners and administrators.

Level 4 users can perform all of the functions of all levels. Functions that only Level 4 users can access include:

  • Creating and managing schedules

  • Deleting patient records

  • Deleting payments

  • Deleting invoices

  • Deleting medical history the same day that it was created

  • Deleting Perio exams

  • Full access to the 'Settings' menu

  • Accessing the 'Audit' tab in the patient record
