How to use the 'NHS Contract Reporting' report

What is the NHS Contract Reporting report?

The NHS Contract Reporting report gives NHS Wales practices a financial view of progress against a contract's annual target. Use it to:

  • See how much of the trackable contract target has been claimed.

  • Check whether delivery is ahead, on track or behind the expected pace.

  • Compare contract sub-targets by category.

  • Review each practitioner's allocation and progress.

Dentally currently tracks Care Packages, Urgent Care and New Patient Assessments in this report. Other Welsh contract categories can form part of your contract configuration, but they do not contribute to the reported figures until Dentally can track them.

How do I access the report?

  • Go to 'Reports'.

  • Under 'Financial', select 'NHS Contract Reporting'.

  • Select the NHS contract you want to review.

The page opens with the heading Contract Performance. The report uses the current configured contract financial year. If the next financial year has been configured but has not started, Dentally continues to show the most recent year that has started.

The report is available to:

  • Practice managers and administrators with permission level 3 or above.

  • NHS-enabled practitioners with permission level 2, who can view only their own performance.

Managers and administrators can use the practitioner filter to select All practitioners or one practitioner. Practitioners open on their own figures when their account is linked to an active practitioner.

What do the summary cards show?

Contract target

The annual target represented in this report. For NHS Wales, this is the portion of the annual contract value assigned to the claim categories that Dentally currently tracks.

Claimed

Shows:

  • The percentage of the trackable annual target claimed.

  • The claimed value in pounds.

  • Average delivery per month.

  • The monthly amount required to meet the target by the end of the contract year.

The Ahead of pace, On track or Below pace badge compares current delivery with the expected pace.

The report includes claims with a status of Submitted, Received, Queried or Completed. Claims without an ACV contribution, and claims in other statuses, are not included.

Remaining

Shows the amount still needed to reach the trackable target and the approximate weekly delivery required by the contract end date.

Select How this is calculated to see the pacing basis. Dentally uses five working days per week and approximately 21 working days per month. If delivery exceeds the target, the remaining amount stays at £0.

How does each claim contribute to the figures?

Each Care Package claim contributes its ACV contribution: the value the claim counts towards your Annual Contract Value. This follows how NHS Wales counts contract delivery, so it is not the same as the fee your practice collects.

A claim's contribution is made up of:

  • The care package value for the treatment claimed.

  • And, for exempt patients: the patient charge the NHS expects for that course of treatment, up to the standard patient charge maximum; and NHS laboratory fees.

For example, with a care package value of £50 and an expected patient charge of £25:

  • A charge-paying patient contributes Ā£50, because the patient pays the Ā£25 themselves.

  • A fully exempt patient contributes Ā£75, because the NHS funds the Ā£25.

  • A partially remitted patient who pays Ā£15 contributes Ā£60.

Laboratory fees follow the same principle. NHS laboratory fees for an exempt or remitted patient count towards the contract, whereas laboratory fees paid by the patient and private laboratory upgrades do not increase the contribution.

How do I read the contract sub-targets?

The Contract sub-targets table shows each category that Dentally can track.

  • Category - The tracked claim category.

  • Type - Confirms that Dentally tracks a percentage for the category.

  • Contract Target - The percentage of the full annual contract value allocated to that category.

  • Submitted - The percentage of that category's annual target delivered so far.

  • Status - Whether delivery is ahead, on track or behind the expected position for this point in the year.

A result within 5% of the expected position is On track. More than 5% above is Ahead and more than 5% below is Behind.

How do I read performance by practitioner?

The Performance by practitioner table appears when All practitioners is selected. It shows:

  • Contract Allocation - The percentage of the trackable contract target assigned to the practitioner.

  • Target (Ā£) - The practitioner's allocated annual target.

  • Submitted (Ā£) - Their claim contribution so far.

  • Remaining (Ā£) - The amount left to meet their target.

  • Progress - Their submitted value as a percentage of their allocated target.

  • Status - Their progress compared with the expected position for this point in the year.

If practitioner targets have not been configured, Dentally divides the target equally across practitioners and displays a message. A user who can manage NHS contracts can follow the link in the message to set custom allocations.

How do I use the contract delivery chart?

The Contract Delivery chart compares cumulative delivery across the contract year:

  • Target shows the expected cumulative delivery line.

  • Actual shows the cumulative value of included claims.

Select All to see all tracked categories together, or select Care Packages, Urgent Care or New Patient Assessments to narrow the chart.

Hover over the chart to compare the target and delivered values for a specific date.

Why can't I see data?

No NHS contracts found

Only active NHS contracts available to your practice locations appear. Ask an administrator to check the contract under 'Settings > 'Practice Settings' > 'NHS' and make sure it is active and linked to the correct location.

No target set

The selected contract needs a configured annual target for the relevant financial year. A user who can manage NHS contracts can select Edit contract to add a target from the report.

I can't see the report

Check that:

  • Your practice is configured for NHS Wales and has access to NHS Contract Reporting.

  • You have permission level 3 or above, or you are a permission level 2 user linked to an NHS-enabled practitioner.

  • You have access to the location associated with the contract.

Recent claims are missing

Check the Last updated time and allow up to 24 hours after a claim or status change. The report includes Submitted, Received, Queried and Completed claims that have an ACV contribution.

Which NHS report should I use?

  • Use NHS Contract Reporting to monitor the tracked financial contract target, expected pace, claim-category sub-targets and practitioner allocations.

  • Use the 'NHS Activity' report for a high-level view of activity by treatment-plan completion date.

  • Use the 'NHS Claims' report to review individual claims, statuses and actions.
