How do I add a future appointment to a treatment plan?

When charting treatment for a patient, you can indicate whether future appointments are needed, as well as appointment requirements such as duration and booking interval. These are known as unbooked appointments.

To add future appointments to a treatment plan:

  • While in the open treatment plan, you will see a calendar icon with a plus symbol underneath an existing appointment.

  • Click this 'Add appointment' button - a new appointment will be generated.

  • Initially this will be named 'Appt. X' (the number will be the next available chronological) - you can rename it at any time if you wish, by clicking the existing name and typing in a new one.

  • You can add booking notes, in addition to any clinical notes, and change the duration of the appointment as needed. This will tell the receptionist how long the appointment needs to be when they book it.

  • (Currently in Beta testing, not yet widely available) You can also click the clock icon above an appointment, to set a booking interval (currently in Beta testing) - how many days/weeks/months after the last appointment it should be booked in. When added, this will automatically add a note to the appointment in the 'Appointments' tab so the person booking can see.

๐Ÿ’ก Top tip: You can view all unbooked appointments for a patient in the 'Appointments' tab, where you can see details including duration, practitioner and booking interval.

  • You can then add treatments to this unbooked appointment in the 'Chart' tab, as needed.

  • If you have assigned a treatment to an incomplete appointment, you can move it to a different appointment within the same treatment plan, as long as it is not yet completed. Click the re-order button in the bottom left, then drag and drop as needed, and click 'Finished reordering' when you're done.
