Are practices with standalone DI imaging still eligible?
Generally, no. Practices using standalone DI software (with no link to Dentally or any PMS) are not eligible because the system has no reliable patient identifiers to match images to patient records.
Dentally Vision can only auto-match images when the previous software had a bridge or PMS connection.
Why aren’t all images automatically mapped during conversion?
Most images transfer seamlessly - but some may not be confidently matched.
Images may appear as unmapped when:
Patient details don’t match exactly (name, DOB, ID variations)
A patient record doesn’t exist in Dentally
The match is ambiguous
The original image format is unsupported
The source record references an image that doesn’t actually contain a file
These images are not lost - they appear in your Image Conversion Report so you can review or manually export/upload them to your patients.
How do images end up in the Image Conversion Report?
Images are added to the report when Dentally Vision cannot confidently auto-assign them to a patient. Common reasons include:
Patient name mismatches
Patients Not Found (no corresponding record in Dentally)
Patients To Review (potential match, but not certain)
Patients Without Images (empty source entries)
Failed to load (unsupported/encrypted/corrupted files)
The report ensures full transparency so nothing goes missing.
What does the Image Conversion Report include?
Your report gives full visibility of the migration, including:
Total verified images successfully imported
Search tools to quickly find patients/images
A list of unmapped images, grouped by issue type
Inactive patients who still received images
Direct download links for any unmapped files
(so you can manually upload them to the correct patient)
This ensures all historic images remain accessible, even if they require manual attention.
What are my legal responsibilities around image retention?
You are responsible for retaining full patient imaging and medical records.
Dentally provides:
All successfully migrated images
Access to all unmapped images via the report
Any images that cannot be matched or imported should be stored securely by the practice as part of standard medical record-keeping obligations.
How long does the conversion take?
Most conversions take up to two weeks, depending on:
Data size
Your previous system
Internet speed
Access permissions
How quick you book your extraction
You will receive an email and in-app notification when your Image Conversion Report is ready for view and once the conversion is complete.
Can we continue seeing patients during the conversion?
Yes. You can continue taking new images in Dentally Vision while historic data is processing. Historic images will appear over time as the migration progresses. We do not recommend taking images using your old software after your migration has begun as none of these images will be included in your conversion.
What does the conversion look like for me?
A booked appointment with our team to start extracting your images.
Access to your local machine with admin permissions is needed.
Verified historic images gradually appear in the cloud gallery
Once ready, your Image Conversion Report appears automatically in Reports
You will receive an email + in-app message confirming completion
Are multi-site practices supported?
Yes. For shared databases:
Each site receives its own Image Conversion Report
Reports are only visible when logged into the specific site where the conversion was run
You may need to log into each site individually to review all reports
Why aren’t historic annotations transferred?
Annotations from old systems would become permanently 'baked in' to the image.
Leaving them unembedded ensures you can still:
Use Dentally’s editing tools
Run Vision AI (such as Pearl)
Make clean adjustments without fixed, irreversible markings
For this reason, annotations are intentionally excluded.
What happens when patient names don’t match exactly?
If the name in the old imaging system differs from Dentally (e.g., “John Smyth” vs “John Smith”):
The image will still be imported.
It will be flagged with a name mismatch annotation in Dentally Vision
It will appear in the Image Conversion Report as an image you can manually match and download to the correct patient.
You can then:
Remove the annotation if the image is correctly assigned
Use Reassign Exam if it belongs to a different patient
This ensures potentially incorrect assignments are visible and easy to correct.
Does Dentally automatically transfer images after extraction?
Yes. If 85% or more of the extracted images can be matched confidently, Dentally will automatically proceed with the transfer.
