Dentally Vision ๐Ÿฉป

๐Ÿ†• New: Dentally Vision Audit Trail

The Dentally Vision Audit Trail is located under the โ€˜Auditโ€™ tab in the patient record. This new feature ensures that each action taken within Dentally Vision is logged with useful details including a unique audit ID, the action performed, and the date, time and performer of the action. The audit trail logs are ordered from newest to oldest, making it easy to find what you're looking for.

๐Ÿ†• New: Monitoring tool for the Acquisition Agent

A new monitoring tool called the 'Watchdog' has been introduced to ensure the Acquisition Agent runs smoothly on Windows machines. This will assist with keeping the agent running at all times without any additional effort from the user. Find out more information in our detailed release notes here.

๐ŸŒŸ Improved: Installation process for Windows

Weโ€™ve made updates to the Windows silent installer to make installations smoother and more reliable. This affects Windows machines ONLY, and includes:

  • Reboots: The installer now manages reboots during installation to ensure everything continues seamlessly.

  • Prevents redundant actions: Unnecessary uninstalls and reinstalls are avoided, saving time and reducing interruptions.

  • Streamlined process: The overall installation experience is more efficient and hassle-free.

๐ŸŒŸ Improved: Additional gallery filters in Cloud gallery

The additional filtering capabilities in the Cloud Gallery and Clinical History enable users to narrow down images more effectively based on the applied filters. These enhancements simplify the process of locating specific images and improving workflows. You can now filter by image type, practitioner name and teeth.

๐Ÿ› Bug Fix: We have applied a number of bug fixes including grading fixes. For details of each bug fix, take a look at our dedicated Dentally Vision v117 release notes.


Dentally Portal ๐Ÿ“ฒ

๐Ÿ†• New: โ€˜Remove unpaired devicesโ€™ button

Weโ€™ve added a button to the โ€˜Devicesโ€™ page in Dentally Portal, allowing you to tidy up your list of devices. Click โ€˜Remove unpaired devicesโ€™ and any devices which are no longer paired will be removed from the list, making it easier to keep track of your devices and find what you need.

๐ŸŒŸ Improved: Task reminder formality

Following feedback from users that โ€˜Hiโ€™ felt too informal, all task reminders will now start with โ€˜Dearโ€™ instead, to reflect the requested level of formality.

๐Ÿ› Bug Fix: Previously the emergency contact relationship field was being pre-filled with โ€˜Spouseโ€™ - this has now been stopped so the field will default to blank.


All regions ๐ŸŒŽ

๐Ÿ†• New: Labs status tracking is here!

Easily update a patientโ€™s lab status from the calendar or the patient record to indicate whether lab work is sent, received or overdue โ€“ allowing you to monitor lab work more easily, and take appropriate action more efficiently. This new feature can be enabled by Level 4 users in Dentallyโ€™s settings!

Use the โ€˜Lab workโ€™ dropdown to set lab status anywhere you can create/update appointments, including the calendar, the appointment finder and the โ€˜Appointmentsโ€™ tab โ€“ and you can also view the status in the โ€˜Appointmentsโ€™ report. Find out more in our news announcement here.

๐ŸŒŸ Improved: Export on the 'Income' report

You're now able to export the treatment list from the 'Income' report, helping you to get the data you need out of Dentally. This export will include all treatments, their count and price. Simply click the 'Export' button in the top right corner of the report.

๐ŸŒŸ Improved: Quick export for 'Practitioner Activity' report

We've extended the quick export functionality (clicking the three dot menu next to a report on the 'Reports' page) to include the 'Practitioner Activity' report.

This allows practices with a lot of data to start a data export from the 'Reports' page without needing to go into the report and load the data first. A new window will appear when you start the export process, allowing you to specify which filters you'd like to use.

๐ŸŒŸ Improved: Bulk export error message

We've added a helpful message to the 'Patients' report, to explain the bulk export/contact limit. Users are by default limited to exporting or contacting 200 patients. If you attempt to export more patients than this, we've improved the error message to explain what's happened and provide guidance on how to increase the limit.

๐ŸŒŸ Improved: Restricted access to historic 'Invoicesโ€™ reporting

As with the โ€˜Takingsโ€™ and โ€˜Sundriesโ€™ reports, Level 1/2 permission users of the โ€˜Invoicesโ€™ report are now only able to view today's invoices by default. All Level 3 and 4 users, and lower level-users with the โ€˜Can run takings, sundries and invoices reports over a specified period?โ€™ additional permission turned on, can continue to select a date range to run the report - ensuring that you are in control of who can see historic financial data.

๐Ÿ› Bug Fix: Previously, if you began an internal message and then closed the chat window, the draft would be deleted when you returned. We have fixed this so your draft message stays and will be there when you return.

๐Ÿ› Bug Fix: We fixed a bug which was preventing some users from running the โ€˜Appointmentsโ€™ report when the 'Future Appointments Booked' filter was applied.

๐Ÿ› Bug Fix: A bug was identified where filters in the โ€˜Audit Trailโ€™ were causing results to show inconsistently โ€“ this has now been resolved.


UK/ROI-specific ๐Ÿ‡ฌ๐Ÿ‡ง๐Ÿ‡ฎ๐Ÿ‡ช

๐Ÿ†• New: Tax Credit exemption changes in England/Wales

The Tax Credit exemption will no longer be valid for treatment plans started after 5th April 2025 - so if you start a plan after this date, or change the start date, we'll remove the exemption automatically. Patients won't automatically get a new exemption in place of the Tax Credit one.

๐ŸŒŸ Improved: NHS FP17 logic changes

Weโ€™ve improved the logic for which patients will be prompted to complete an NHS FP17 form. Having identified that some patients were unable to sign multiple forms within 14 days or if an exemption was added recently, we have now solved these issues to ensure the process is smoother and more accurate. ๐ŸŒŸ Improved: Improved support for contracts across multiple sites (England/Wales)

Previously, for users without access to all sites, the 'NHS UDAS' report would limit the contracts to only those belonging to the site you can access. We now include contracts assigned to multiple sites in the list without needing to have access to all sites - improving communication and access across all sites.

๐Ÿ› Bug Fix: We have fixed an issue where NHS Scotland would reject prior approval claims with a previous case ID, due to formatting. We've updated the claim structure and now only show relevant fields, ensuring claims go through correctly.


AU-specific ๐Ÿ‡ฆ๐Ÿ‡บ

๐ŸŒŸ Improved: Payment plans renamed to 'Fee Schedules'

To improve understanding and help new customers learning Dentally, we've updated the name of our 'Payment Plans' system to 'Fee Schedules' to better reflect their purpose. This new wording will be used throughout Dentally.

๐ŸŒŸ Improved: โ€˜Suburbโ€™ in patient address collection

We have added a โ€˜Suburbโ€™ field for field for patients when entering their address using Portal โ€“ to better reflect Australian address formatting.


CA-specific ๐Ÿ‡จ๐Ÿ‡ฆ

๐Ÿ†• New: Additional lab codes

In line with the updated fee guides, weโ€™ve added new lab codes to Dentally for improved accuracy:

  • 99112 โ€“ In-Office Laboratory Procedures

  • 99113 โ€“ Laboratory Charges for Oral Pathology Biopsy Services

  • 99121 โ€“ Additional Expense of Materials

๐ŸŒŸ Improved: Claims management usability

Weโ€™ve made a number of updates to the claims management tool to enhance practice workflows and make your workflows smoother and more efficient:

  • Simplified claim selection: The master checkbox has been removed to prevent accidental selections, providing greater accuracy for practices when managing claims.

  • Relevant options only: Insurance-specific checkboxes now appear only when needed, keeping the interface clear and focused on actionable tasks.

  • Automatic reset after recording payments: Checkbox selections are now cleared automatically after recording a payment, saving you time and reducing errors.

  • Quick deselect: A new โ€˜Clear selectionโ€™ button allows you to reset all selections with a single click, improving efficiency during bulk reconciliation.

  • Improved accessibility: Claim-related action buttons and claim counts have been repositioned, minimising unnecessary movement and enabling you to complete tasks more quickly.

๐ŸŒŸ Improved: Limit coverage visibility

Weโ€™ve updated how limits are displayed to improve clarity and accuracy. Combined Basic/Major limits are displayed as a single amount (e.g. Basic and Major: $1,700), while separate Basic and Major limits will be displayed individually (e.g. Basic: $2,500; Major: $1,700). We have also excluded Orthodontic limits from displayed totals.

๐Ÿ› Bug Fix: Weโ€™ve fixed the estimated insurance coverage tooltip to ensure it only displays active insurance policies, removing any references to secondary insurance when not applicable and excluding archived policies.
