How to use filters in the 'Patients' report

Understand how filters work and how to make the most out of them in the 'Patients' report.

How do I filter the 'Patients' report?

When filters are applied, the list will automatically update immediately to reflect the filters - with the total number shown at the top.

When you first open the report, only the 'Active' filter will be applied automatically, showing the patients currently active/not archived in your practice. You can change this to 'not active' to see archived patients.

Filters are shown in the menu on the left-hand side of the report. These can be used to drill down to patients who meet specific criteria, such as those registered to a certain practitioner or payment plan, or can be set to a specific date range.

Find the filter you want, enter the criteria required, and click 'Add Filter'. It will then immediately apply to the data.

Filters might be formatted as:

  • 'is/isn't' - eg 'Dentist > is > Joe Bloggs', to find Joe Bloggs' patients.

  • 'has any value/is unknown' - eg 'Postcode > is unknown', to find patients with missing address details.

  • 'starts with/ends with/contains/does not contain' - eg 'Postcode > starts with > EX' to find to find patients located in/around the Exeter area.

  • 'is true/is false' - eg 'Bad debtor > is true' to find bad debtors.

You can also use the same filter multiple times, to identify patients who meet both criteria within a filter. For example, this might be useful when filtering to a date range (eg by selecting patients who have visited more than 30 days ago but less than 90 days ago). Once you have added a filter, a new filter box will appear underneath with 'And' written between them.

You can build complex requests using multiple filters. For example, to see a list of Joe Bloggs' patients who own more than £25 and have no future appointment booked, so that you can chase up payments:

  • 'Active' > 'is active'

  • 'Dentist' > 'is Joe Bloggs'

  • 'Account Balance' > 'is less than -25'

  • 'Next Appointment' > 'is unknown'


How do I save the filtered 'Patients' report for future use?

If you have applied filters, and know you will want to run this report again without having to manually add the filters, you can save it as a custom segment (also known as a saved segment).

  • Click the 'Save' button at the bottom of the filter menu on the left-hand side.

  • Enter a name in the 'Create a new segment' field, and click 'Save new segment'.
