How to create a new online appointment as a multi-site brand

๐Ÿ“ Please note: This article is for multi-site brands. If you are a single-site practice, read our guide to creating appointments here.

How do I create new appointment options for patients to book in my multi-site practice?

  • Ensure you are viewing at practice level, not site level - toggle to 'All Sites' in the dropdown in the top left corner of the Portal admin dashboard. If you are viewing a specific location, you won't be able to add new appointments.

  • Head to 'Online Booking' and then 'Appointments' in the left-hand toolbar.

  • Appointments are broken down into categories, which you can read more about in this handy guide.

  • Identify the category that your new appointment best fits into, then click the 'New' button to the right of your chosen category.


In the 'Details' section:

  • Appointment reason - This list is the same as your Dentally appointment reasons. Ensure these match, to make reporting easier. This will not be visible to patients.

  • Name - This will be the appointment name patients will see and choose. Ensure it is clear and concise.

  • Description - This will help patients to understand and differentiate between appointments. We suggest copying this from your website and keeping it quite short.


In the 'Allowed Sites' section:

  • Check the tickbox โœ… for the sites you want this appointment to be available for.

  • If you want it to be available in all locations, check 'All sites' at the top.


After saving your new appointment, go to the dropdown in the top left corner of the Portal admin dashboard and select a specific location.

Then in the 'Appointments' section, scroll down to find your new appointment and click it to open it. From here you can edit the following sections:

  • โ€˜Duration & Pricingโ€™

  • โ€˜Practitionersโ€™

  • โ€˜Diary Controlโ€™

๐Ÿ’ก Top tip: If you are a multi-site practice, you will need to follow these steps for each individual site, as some details such as pricing may vary by location.

You can view your appointment types in the 'Appointments' section - to enable/disable them, ensure you have used the location dropdown in the top left corner to select a specific site. Then use the toggle buttons to the right of each appointment.
