How to access and understand the 'Payment Allocation Totals' report.

How do I use the 'Payment Allocation Totals' report?

When payments are taken, they will automatically be explained against an invoice and therefore assigned to the practitioner who raised the invoice - this can also be done manually if preferred.

You can view the allocations for each practitioner in the 'Payment Allocation Totals' report. This report can also be used to calculate how much to pay associates.

To access the 'Payment Allocation Totals' report:

  • In Dentally, click the 'Reports' button in the left-hand toolbar.

  • In the 'Financial' section and click 'Payment Allocation Totals'.

  • You will see the 'Payment Allocation Totals' report. The report automatically defaults to a month-long period, but you can filter this down to a specified date range eg. daily or weekly.

πŸ“ Please note: The 'Payment Allocation Totals' report is different from the 'Payment Allocations' report which provides a more detailed view of each payment.

Any practitioners who have payments allocated to them in the specified time period will be shown here, with a breakdown of their payments (NHS practices will see an additional column).

The total of all practitioners' allocations is shown at the top under 'Practitioners Total' - likewise sundry allocations under 'Sundries Total'.

The 'Site Movements' column refers to payments that have been allocated to the site and not moved elsewhere (ie into the practitioner or sundry column) - this will often be unexplained payments or advanced payment for treatments not yet invoiced.

πŸ“ Please note: Clicking on any of the hyperlinked (blue) parts of the page, such as the practitioner names or the totals at the top, will take you to the relevant section of the 'PaymentAllocations' report. This will open in the same window.

It is normal for your practice dashboard and 'Payment Allocation Totals' report to show different amounts because they look at different datasets. The dashboard total is based on the total value of all invoices raised on that date, while the 'Payment Allocation Totals' report looks at all payments made by patients that have been allocated to an invoice.

For multi-sites only:

A second table will be visible under the one above, entitled 'Allocations from other sites'. This highlights whether practitioners at the current selected site have any allocations which originated from different sites within the selected date range. This will indicate that money (such as a deposit) taken at another site was used to pay for treatments that were performed at the current site.
