How to use the 'Patients Report' to identify effective acquisition sources

The 'Patients Report' is a great way to determine how effective your marketing channels are in bringing new patients to your practice.

You can also seen how many of these new patients have completed their first appointment.

Before using the report, it's important to make sure you're gathering accurate data on your patients' acquisition sources. You can see how to create acquisition sources here, and find out how to get this information via Dentally Portal here.

Once you've started gathering acquisition source data, you can use the report to look at the success of each source.

First, let's get to grips with using the 'Patients Report' to view new patients.


How do I use filters to see new patients?

To find your newly registered patients, set the filters in the 'Patients Report' to the following:

  • Active - patient is active

  • Record Created > Absolute - to show patients acquired after a chosen date.

  • OR

  • Record Created > Relative > Less than X days ago - to show patients acquired within a recent time period. For example, if you wanted to see all the patients in the last 3 months, use Relative > Less than 92 days ago.

You can also filter by patients who have been active. If these patients have attended and completed treatment, there will be an invoice. So add the following filter:

  • Account Data > Total Invoiced > Is more than 0

Save the segment so you can refer back to it. You might like to call this segment 'New patients in last 3 months'.


How do I change the display to view acquisition sources?

Once you have a list of new patients, you can adjust the display to see acquisition sources.

To show acquisition sources, or total invoiced amounts, change the fields on display.

  • Use the 'Display attributes' icon at the top right of the screen.

  • Scroll down and select the 'Total Invoiced' tick box, and this will display on the screen.

  • Add the 'Planned Treatment' field and/or the 'Planned Treatment Value (NHS)' field to see the future value of this patient to your practice.

  • Select to display 'Acquisition Source' if you want to see an overview of the sources which attracted new patients during your chosen time period.

  • You can deselect other fields that you aren't interested in, if you want to keep your screen less crowded.

  • You can export this data and import it into a spreadsheet if you want to perform additional filters on the data displayed.


How do I use the report to evaluate acquisition sources?

By filtering the display to show 'Acquisition Source', you can see an overview of all the acquisition sources for new patients, which will help you to analyse which sources are most effective, and assess where you should focus your marketing efforts.
