Using the EXACT health checker report

What is the EXACT health checker report?

Before migrating to Dentally, it’s essential that your patient data is accurate and up to date. The EXACT health checker helps you identify and review any patient records that may need attention. This ensures a smoother, faster, and more accurate transition to Dentally.

With EXACT version 25.133 and above, this report appears in your 'Get Ready for Dentally' display, designed to make daily data reviews easier for your nominated practice champion.


How to enable the display & health check report

Your Onboarding Success Manager (OSM) will help activate this feature for you. The 'Get Ready for Dentally' display will only appear for your nominated user within EXACT - whom you should have confirmed already with your OSM.


Using the 'Get Ready for Dentally' display

Once activated, your nominated user will be able see the 'Get Ready for Dentally' display (instead of the normal home screen) as soon as they log into EXACT. This display provides snapshot of data health, updated every evening including:

  • A summary of flagged issues.

  • Patient counts per data check.

  • Progress through reviewing each item.

🚨 Important - All of the ⚠️ Critical issues are clearly marked with a red warning triangle, and each section includes tooltips for clarity when you hover over the description / text.

Reviewing and actioning patient records

From this display:

  • Click on any data issue on this screen (eg. Missing first name) to open the list of affected patients.

  • Read the on-screen guidance for what action is expected.

  • Double click on a patient to open their record in EXACT and make any necessary edits.

When done:

  • Mark the patient as “Reviewed”, even if no changes were made. This helps track your progress and clears them from the active list.

Use the filters to:

  • View already reviewed records.

  • Include inactive patients (where applicable).

Running and using the printable health check report

If you prefer a printed version of the report you can:

  • Go to the 'Reports' section in EXACT

    • Via the top toolbar: click 'Reports'

    • Or via the menu: 'Administration' > 'Reports'

  • Locate the 'Conversion Health Check' report.

📝 Please Note - If the report doesn’t appear in your list, try logging out and back in again.

  • Double click the report to open the 'Print' model in EXACT.

Report options explained

  • If 'Show Details' is selected: a detailed list of patients flagged by each check will be added to the report

    • This option is particularly useful you prefer to work through a physical copy of the report, marking off each case individually when reviewing / correcting the data

  • If 'Include inactive patients' is selected: the detailed list of patients mentioned above will include inactive patients (these patients will have an asterisk added to their last name, e.g. *Smith)

    • This option will do nothing if 'Show Details' is not ticked
