What is AI notes?

Clinical AI notes is a voice-powered tool built directly into Dentally designed to help clinicians create clinical notes quickly and accurately by speaking naturally to summarise what took place and AI will transcribe and format the note according to your practice’s chosen template.

No typing required. No toggling between applications. Just talk and let AI do the heavy lifting, so your notes don't ever take longer than the appointment again!

Here are some of our other most common FAQ's👇

Why should I care about AI notes?

Because documenting patient visits is essential — but often time-consuming. Clinical AI notes helps cut your documentation time in half, which means:

  • Less admin and end-of-day backlog.

  • Fewer clicks and less stress.

  • More face time with patients.

Is it always listening or recording the appointment?

No - clinical AI notes is not an ambient listening tool, and it does not record the full appointment. It only starts listening when you manually activate it, usually after the appointment, to help you summarise what happened into your notes. You’re always in control.

Each session is capped at 5 minutes (though you can start another if needed). It’s designed for quick, post-appointment summaries not to capture real-time conversations or full-length recordings.

That said, we know real-time support is in high demand and we’re actively exploring features to better support in-the-moment workflows. Watch this space! 👀

Does clinical AI notes make treatment recommendations?

No - clinical AI notes does not make clinical decisions or suggest treatment plans. It simply turns what you say into a well-formatted summary based on your practice’s existing note templates. You remain fully in control of the content and clinical judgment.

Is it built for dental?

Yes! We've optimised our clinical AI notes with a custom-built dental dictionary, so it understands the terminology you use every day. Plus, we're continuously improving it based on real user feedback.

Is it easy to use?

Absolutely. Clinical AI notes is built right inside Dentally — no new apps, no extra logins. Just one click on your clinical sidebar to start recording and your notes are generated in seconds.

What if I have an accent?

The AI is designed to support a wide range of accents, and we’ve enhanced it with a custom dental vocabulary to boost accuracy. Just speak naturally — it’ll keep up.

How much does it cost?

Currently, clinical AI notes is free of charge during the Closed Beta & Early Access phase. This feature is currently free of charge with unlimited usage whilst it is in Early Access - as it is still in development.

Once this feature is released across all regions in full, Early Access will be revoked and Advanced and Advanced+ plans will come with a standard monthly allowance of clinical AI notes included at no extra cost.

If you go over your monthly credit limit, you can keep using clinical AI notes without any disruption. Additional usage beyond your included credits will be charged at just 20p per note.

How do I upgrade my clinical AI notes plan?

Once this feature is released across all regions, clinical AI notes is included with Advanced and Advanced+ plans, which both come with a monthly allowance of AI transcriptions.

If you’re on a standard plan and want access to notes — or need to increase your usage limits on our Advanced Plan — You can request an upgrade from "Settings" -> "Practice" -> "AI Notes". Simply let us know when is best to get in touch to discuss an upgrade and our team will reach out to you!

How do I turn off clinical AI notes?

Although we do not recommend switching this off, we understand that not everyone will want to use this tool. That's why clinical AI notes can be disabled for your practice under "Settings" > "Practice" > "AI Notes". You must be logged in as a level 4 user to do this.

What happens when I run out of clinical AI notes credits?

Throughout the Closed Beta/Early Access phase, credits are not needed as there is an unlimited supply provided for you to test the feature to the best of its ability.

Once launched in full, If you exceed your monthly allowance:

  • Advanced Plan - 45 notes per surgery per month

  • Advanced Plus Plan - 90 notes per surgery per month

You can keep using clinical AI notes with no interruption to your workflow. Any usage beyond your monthly credit limit will be billed at 20p per note, and this will appear clearly on your next invoice.

To view your current plan details or check usage simple navigate to "Settings" -> "Practice" -> "AI Notes".

Is clinical AI notes secure and compliant?

Yes. Clinical AI notes is fully GDPR and AU compliant and built with PII protection at its core. Your data is handled securely and respectfully:

  • Audio is processed securely and never stored — only the final transcript is saved to the patient’s record.

  • No customer data is used to train the AI.

You can read more in our AI & Data Policy.

Is my data used to train the AI?

No. At this time, customer data is not used to train the AI. If that ever changes, we’ll be transparent about how data is handled, and ensure full GDPR/PII and AU compliance.

Can I try it now?

AI notes is currently in Closed Beta in the UK. However it is available in Early Access for AU and NZ sites now! - with Canadian practices getting Early Access from 20th October. Once rolled out in full it will be readily available to those already on an Advanced or Advanced+ subscriptions.

What’s coming next?

The Dentally team is actively working to finalise compliance certifications required by the NHS and other regional authorities. This will ensure the feature is introduced in line with all necessary regulations across all regions!

We’re just getting started with AI. In the future, we’ll explore features like capturing key moments from patient conversations. But for now, our focus is on helping you document smarter, not harder!
