Can I copy an existing recall workflow?
You can duplicate an existing workflow, to save time by not having to build the stages from scratch, and then modify it as needed. Duplicating the workflow will initially copy the existing workflow's details, and you'll then be able to fully customise them if needed.
To duplicate an existing workflow:
In 'Reports', click 'Recalls' and then 'Workflows' in the top right corner.
Here you will see all your current workflows which you can manage if needed. Identify the workflow you wish to duplicate.
You can either:
Open the chosen workflow and click 'Duplicate workflow' at the top of the page.
You will be presented with the key details of the new workflow. The details of the workflow are fully customisable, so they can be different from the existing workflow if you wish - only the stages (the rules for when the recall will send, such as interval and template) of the existing workflow will be copied exactly.
'Workflow Name': This will default to the existing workflow's name, with 'COPY' added at the end. You can customise with a new name, or leave it as is if you prefer.
'Location': For multi-site practices only, use this field to select which sites this recall is for.
'Recall Types': Choose from dentist, hygienist or combined. This section will auto-populate with the recall type(s) from the existing workflow, but can be amended as needed.
'Payment Plans'/'Fee Schedule': Choose from your available payment plans. The wording for this field will vary depending on your region. This section will auto-populate with the payment plan(s)/fee schedule(s) from the existing workflow, but can be amended as needed.
'Practitioners': Choose from your active practitioners. This section will auto-populate with the recall type(s) from the existing workflow, but can be amended as needed.
'Active?': This field cannot be edited at this point. Once you have finished duplicating the workflow, you will have the option to set the workflow as active or inactive, so no action is needed in this field for now.
When you have completed all fields, click 'Duplicate Workflow'.
Your new workflow will then open and display all your chosen information, plus the 'Recall Creation' and 'Stage' sections which will be copied from your existing workflow.
Once the workflow has been duplicated, you can then edit the details of the new workflow if needed, by clicking 'Edit' on the right - this includes setting the workflow as active or inactive.
You can also add to/edit the stages of the new workflow after duplicating, using the normal process.
