How to use the Practice Management dashboard in MPC

Navigating and understanding the My Practice Cloud's practice management dashboard

How to view my Practice Management dashboard on MPC

  • Navigate to MPC and login

  • Select 'Dashboard items' and choose 'Practice Management dashboard' from the drop down list.

Understanding the Practice Management Dashboard tiles on MPC

Income tile

This tile gives you an indication of the income generated, It breaks down the total amount, giving you a per hour amount and even gives a colour bar indicator depicting the proportion of breakdown between Private and NHS patients.

Income is a key driver in practice performance, and the estimated hourly rate can indicate whether this is at an appropriate level for your business goals.

A low hourly rate can also indicate possible issues with appointment diary time not being blocked out correctly.

Patients Seen tile

This tile shows the number of completed patient appointments giving you a clear indication of the rate at which the selected practices are able to carry out patient treatments in a given period.

Expanding this tile using the icon will open up the 'Appointments Analysis' report for you to delve further into the details of these appointments.

Whitespace (Forward Cover) tile

This tile shows the available, unbooked time in your calendar for the next 7 days - this is the what we refer to as whitespace.

Expanding this tile using the icon will open up the 'Appointments Diary' report for you to delve further into the practices and providers who have large sections of unbooked time presenting you with actionable insights into where your white space is.

An appointment diary with large amounts of whitespace showing for the next week can be indicative of a potential drop in revenue over that period. Focus on this region, and use of the associated 'Appointment Diary' report to ensure that whitespace is monitored and minimised, by doing this you will ensure that the per-hourly rate shown in the Income region is as accurate as possible.

FTA (Failed To Attend) tile

This tile shows you the number of hours lost due to FTA/DNA appointments, as a percentage of total available hours. The total number of FTA hours is also shown.

FTA rates are an important metric when it comes to maintaining an efficient practice, Monitoring these percentages is ideal as FTA appointments represent lost revenue for your practice, and so this region allows users to track this rate across practices, and ensure it is managed appropriately.

Expanding this tile using the icon will open up the 'Appointments Analysis by Period' report for you to view the failed appointments data in more detail.

Cancellations tile

This tile shows you the number of hours lost due to cancelled appointments where that time was never rebooked, as a percentage of total available hours. The total number of cancelled hours is also shown.

As with FTAs, cancelled hours also represent lost revenue for a practice, so its important to track this figure and take actions accordingly such as chasing those who have yet to book back in.

Registered Patients Demographics tile

This tile gives you a graphical summary of the proportion of patients by gender and age. This information can give you insight into whether there is a need for increased marketing efforts for certain age brackets.

UDAs tile

This tile is specific for NHS contract users in England and Wales ONLY. It shows the number of NHS UDAs that have been claimed and the monetary value of these claims.

Maintaining progress towards you UDA target throughout the contract year is essential, and this tile can help give an indication of the rate at which UDAs for the selected practices are being generated.

COTs At Risk tile

This tile is specific for NHS contract users in England and Wales ONLY. It shows the number of completed NHS treatment plans that are potentially in danger of lapsing over the current 2-month cutoff period. Treatment plans that are submitted after this cutoff date may not be paid. It also shows an estimate of this potential 'lost' income.

Expanding this tile using the icon will open up the 'Completed Courses Of Treatment At Risk' report for you to investigation these treatments further showing information about the status of each treatment the practice and the provider.
