How to add and use a custom procedure in Dentally Vision

Step 1: How to add a custom procedure to Dentally Vision

๐Ÿ’ก Top tip: Your permission level will determine what you can do with custom codes. All users can create procedures - Level 2 users can edit and delete their own, while Level 3 users can edit and delete any for their current site, and Level 4 users can edit and delete all procedures in their practice.

  • Navigate to a patient in Dentally.

๐Ÿ“ Please note: If you know what custom procedures you would like to use, then its recommended to set them up against a test patient first so that they are ready for use with a real patient.

  • Select 'Acquire images' at the top of the treatment plan section.

  • Under 'Imaging Procedures' on the left go to 'Custom' then use the 'Filter Procedures by' dropdown. Please note, this filtering feature is currently being rolled out to users so if you can't see it yet, you will do soon.

  • Choose from three different categories of custom procedure, allowing you to filter down to only the codes you need.

    • Organisation: Every custom procedure created by any user in your practice.

    • Location: Every custom procedure created by any user in your site. This is the default selection.

    • User: Every custom procedure that you personally have created.

๐Ÿ’ก Top tip: Whichever option you select, Dentally Vision will remember your selection next time.

  • Select 'Create Custom Procedure'.

  • Enter a 'Procedure Name' and a 'Code'.

๐Ÿ“ Please note: The procedure code will change to lowercase.

  • Tick the 'Apply charges' tickbox if you want to charge for this image procedure.

  • Next, you are going to add your images, assign teeth and choose the order. Choose the image type you'd like to add, on the bottom far left:

    • X-rays

    • Intraoral photographs

    • Extraoral photographs

  • Select whether you want the tile to be added with 'Vertical' or 'Horizontal' placement, this will then add the tile to your procedure.

  • Drag and drop to rearrange the order of the images added.

  • Finally on the bottom right, you can tick to mirror the exam, and under 'Other' you can choose wether to display the image orientation and set the order of the exam.

Before you can save your procedure you must also assign tooth numbers to each tile.

  • Do this by selecting each tile and clicking on the 'Edit' pen icon.

  • Assign tooth numbers to each tile and select 'Assign Teeth' where applicable

  • All teeth assigned will be shown below.

  • You can also change the orientation of the tile by selecting the 'Orientation' icon (next to the pen icon).

  • Increase or decrease the size of the image by clicking and dragging from the corner of the image.

  • Once you are happy with all your settings, click 'Save' and your custom procedure will be added.

  • You can also 'Favourite' this procedure so it shows up in the 'Favourites' tab using the star icon next to the procedure name.

  • Next, you'll need to add imaging treatments.


Step 2: Add the imaging treatments you would like to automatically chart for your custom procedure

  • Complete the treatment details you want to associate with the custom procedure.

    • Images: Number of images required for the given treatment that will automatically be charted. (ie. to automatically chart three images of the chosen treatments, enter '3').

    • Treatments: The treatment that will be charted (ie. to automatically chart small radiograph treatments, select '105 - small Radiograph').

    • Bin: If you wish to remove a treatment, click the corresponding red bin icon.

  • Click 'Add treatment' again to add additional treatments.

๐Ÿ“ Please note: Only images of the same type can be added to a custom procedure eg. bitewings and periapicals

  • To complete the set up, click 'Save'

  • Your custom procedure is now added to Dentally Vision.


How do I edit a custom procedure?

  • To edit the custom procedure in Dentally Vision, use a test patient in Dentally and add a treatment. Select Acquire images.

  • Once in Dentally Vision, go to 'Imaging Procedures', go to 'Custom' and select the custom procedure you wish to edit then click the pencil icon at the top.

  • You can edit the following:

    • Title

    • Code

    • Apply charges

    • Placeholders:

      • Default tooth selection

      • Orientation

      • Horizontal alignment

      • Vertical alignment

๐Ÿ“ Please note: You cannot delete or add a placeholder.

  • Click 'Save' to save your changes and continue.

  • Click 'Delete' to delete the custom procedure.

  • Click 'Cancel' to undo any changes.

  • Once you've saved the changes , you can edit the following in Dentally:

    • Which treatment(s) are automatically charted.

    • How many of each treatment(s) are produced.

  • Click 'Save' to complete the process.

How do I chart a custom procedure?

After you have set up the custom procedure in Dentally Vision and Dentally you can begin to use this procedure in your treatment plans.

  • Go to your patient's 'Chart' tab and select 'Acquire Images'.

๐Ÿ“ Please note: To use custom procedures, you must acquire the images before you chart the treatment items.

  • If you have added your custom procedure to 'Favourites', then it will appear there. Alternatively, click on 'Custom' and select the procedure.

  • Select the acquisition method and click 'Proceed with Acquisition'.

  • The acquisition will proceed through all the images as per normal process

  • Once complete, all the images will show in the 'Image Navigator' on the left in Dentally Vision.

  • Once complete, you will see relevant treatment items have been automatically added to the chart.
