Step 1: How to add a custom procedure to Dentally Vision
Navigate to a patient in Dentally.
Select 'Acquire images' at the top of the treatment plan section.
Under Imaging Procedures on the left go to 'Custom' and select 'Create Custom Procedure'.
Enter a 'Procedure Name' and a 'Code'.
📝 Please note: The procedure Code must be in lowercase. Make sure you remember the code as you will need to enter it in the Dentally Cloud Imaging tab.
Tick the 'Apply charges' tickbox if you want to charge for this image procedure.
Next, we are going to add our images, assign teeth and choose the order. Choose the image type you'd like to add, on the bottom far left:
Xrays
Intraoral photographs
Extraoral photographs
Select whether you want the tile to be added with 'Vertical' or 'Horizontal' placement, this will then add the tile to your procedure.
Drag and drop to rearrange the order of the images added.
Finally on the bottom right, you can tick to mirror the exam and under 'Other' you can choose wether to display the image orientation and set the order of the exam.
Before you can save your procedure you must also assign tooth numbers to each tile.
Do this by selecting each tile and clicking on the 'Edit' pen icon.
You can also change the orientation of the tile by selecting the 'Orientation' icon.
Increase of decrease the size of the image by clicking and dragging from the corner of the image.
Once you are happy with all your settings click 'Save' and your Custom Procedure is now added to Dentally Vision.
You can also 'Favourite' this procedure so it shows up in the Favourites tab using the star icon next to the procedure name.
Step 2: Adding your custom procedure to Dentally
🚨 Important: Adding a custom procedure must be set up in Dentally Vision first before adding this into Dentally.
Navigate to 'Settings' and select 'Treatment & Plans'.
Select the 'Cloud Imaging' tab, and select 'Custom Codes' from the drop down.
Select 'New'.
Add the code you added in Dentally Vision in the 'Procedure name' field.
Click 'Add Procedure Code'.
Add the treatment codes relevant to the tiles you previously added in Dentally Vision using the drop down eg. in the example above we added 4 bitewings and 2 periapical.
If you make a mistake, simply click the 'Delete' 🗑️ trash can icon.
Once you are ready, click 'Save'.
How to chart a custom procedure
After adding this code to both Dentally Vision and Dentally you can begin to use this procedure in your treatment plan.
Go to your patient's 'Chart 'and select 'Acquire Images'.
📝Please note: To use custom procedures, you must Acquire the images before you chart the treatment items.
If you have added your custom procedure to 'Favourites', then it will appear there, alternatively, click on 'Custom' and select the procedure.
Select the Acquisition method and click 'Proceed with Acquisition'.
The acquisition will proceed through all the images as per normal process
Once complete, all the images will show in the 'Image Navigator' on the left in Dentally Vision.
Once you have closed down the vision screen you will see relevant treatment items have been automatically added to the patients treatment plan.
What happens if I forget to add the custom procedure to Dentally?
If you have set up the Custom Procedure in Dentally Vision and have proceeded with acquisition without having set up the corresponding custom procedure in Dentally, then the acquisition will continue and an error message will show during the acquisition process.
In Dentally, no treatment items will appear on the chart after the acquisition in Vision has been closed, so you will need to manually add the treatment items for billing and treatment history purposes.
Even though the images will still be linked to the teeth in the chart and will show in the Cloud Gallery, there will be no link between the treatment item and the images taken therefore the image icon next to the treatment item will not show.
