What does the patient see when using Kiosk to check in?

๐Ÿ’ก Top tip: Make sure your Kiosk-paired device is clearly visible near the entrance to your practice. In order to reminder your patients to use Kiosk, and to develop the habit for future visits, ensure you direct them to your Kiosk device on arrival (either verbally or through signage).

When a patient starts to check in on a Kiosk-enabled device:

  • They will touch the screen to start.

  • They'll be asked to enter the day, the month and then the year they were born.

  • Next, they'll enter the first initial of their last name.

  • They'll then see a message confirming whether they're checked in, and whether there are any further actions.

๐Ÿšจ Important: Kiosk will only flag that the patient has outstanding tasks if they need to do medical history, or NHS forms (UK only) - any other non-standard forms won't be picked up by Kiosk as requiring completion.

  • The contents of this message will vary depending on a few factors.

    • If the patient has outstanding tasks, they'll see confirmation of check-in and will be prompted to go to reception before sitting down. This will only be flagged if the user has standard outstanding forms (medical history, or FP17/GP17 for UK NHS users only) - if you use other non-standard forms, these won't be flagged during check-in.

    • If the patient is late, they'll be told they're not checked in, and will be prompted to speak to reception.

    • If they are on time/early and they have no outstanding tasks, they'll see confirmation of check-in and will be invited to take a seat. This message is customisable in your Portal admin dashboard.

      • If the patient has an outstanding form which is non-standard (ie. it is not a medical history or NHS form), these won't be picked up by Kiosk, meaning the patient might be told there are no actions to complete even when there are.

    • If the patient's details do not match in the system, they'll be told they're not checked in, and will be prompted to speak to reception.

If the patient has checked in successfully, your calendar will automatically update to show their status as 'Arrived'. If their check-in was unsuccessful (if they were late, or if their details didn't match), their status will not update automatically.
