How to manage templates for emails, letters, SMS & Word documents.

How do templates work?

Templates can be created in Dentally, allowing you to start with the same base content every time you create a new note, document or correspondence. This means you don't have to repeat the same actions every time you create a new correspondence. When you open a template, it is pre-formatted and pre-populated with your chosen content. Β 

You can use a correspondence template to:

  • Ensure that all written communication with patients is consistent

  • Add your branding and contact details.

  • Ensure that all patients receive the correct information for them.

πŸ“ Please note: Permission Level 4 access is required to create and edit templates.

You can manage templates for:

  • Letters

  • Estimates

  • Invoices

  • SMS messages

  • Emails

  • Word documents

How do I manage my templates?

To locate and manage your templates:

  • In Dentally, go to 'Settings'.

  • Click on 'Templates'.

  • Click on your chosen tab - choose from:

    • Letters

    • Estimates

    • Invoices

    • SMS

    • Emails

    • Word Docs

    • Notes

  • You will see the 'Export' or 'New Template' buttons in the top right of each tab. The options vary for each tab.

  • From here, you can select a template from the list on the left of the screen, and edit or save it on the right. For letters and estimates, you can also preview the template, to ensure it is laid out as you'd expect (this will open in a new tab).

  • You can also use the filter at the top to view active or hidden templates. (For multi-sites only, you will also see a filter by location).

πŸ’‘ Top tip: You can also create and edit templates for clinical notes and treatment plans, which are managed differently.

  • You will see a selection of templates which are provided as default. You can edit these to add necessary content, or use them as inspiration to create new templates as required.

πŸ“ Please note: Each SMS message can be up to 160 characters in length. If you exceed the 160 characters, you will be charged for 2 SMS messages.

Why are marketing settings important in correspondence templates?

To comply with GDPR/consent regulations, certain processes must be followed with email, SMS and letter templates which are marketing-related.

All marketing communications you send will have an unsubscribe (opt-out) link and Dentally will automatically block any marketing-based communications that you send to a patient who has opted out of marketing communications from you.

You need to identify which of your correspondence templates in Dentally are for marketing-based purposes, helping you to ensure you comply with the latest regulations and best practices.

When creating or editing a correspondence template, ensure you have turned on the 'Marketing' toggle in the template's settings if it is for marketing communications. This will ensure that any emails, SMS or letters sent for marketing purposes are only sent to patients who have opted into marketing. Unsubscribe links will also be added automatically whenever that template is used.
