How to manage a patient's NHS Exemption

How to view a patient's NHS exemption

  • Navigate to the patients 'NHS' tab.

  • Make sure you are on the 'Exemptions' tab on the left.

Here, you will be able to see a list of the patient's past and current NHS exemptions with details such as 'Evidence', 'Expires', and 'Added' to help you easily track and maintain the patient's exemption.

My patient doesn't have an NHS tab

If you have encountered a scenario where your patient does not appear to have an NHS tab at the top of their patient record, please follow these steps:

  • Navigate to the patient's 'Details' screen.

  • Scroll down to practice and recalls.

  • Set their 'Payment plan' to NHS

Once a patient has set as NHS here, the NHS tab will appear for the patient. If you still cannot see it, please refresh your browser tab and try again.

How to add a new NHS exemption to a patient

  • Navigate to the patients 'NHS' tab.

  • Make sure you are on the 'Exemptions' tab on the left.

  • Click on 'Add an exemption' on the right.

  • Fill out the Exemption details, including the exemption type, if evidence has been seen, the expiry date and any supporting details.

  • Click 'Save'

πŸ“ Please note: Some exemptions require the patient to enter a National Insurance Number in the patient's details.

The patient's updated exemption will now display in the top right of the patient's screen, and you will be able to see any previous exemptions listed under the new one you have just created.

How to remove an exemption from a patient

Managing expired exemptions

When a patient’s exemption expires, you will no longer be allowed to use it on an NHS claim. The exemption will default to β€˜None’ and the patient will be charged.

You will need to add a new exemption to the patient if they have had their exemption renewed. Read the section above on how to add a new exemption.

What to do if a patient no longer has a valid exemption

If a patient no longer has a valid exemption, but the exemption in their records has not yet expired you should:

  • Add a new exemption and select the type β€˜None’.

  • Click 'Save' and you will see the new exemption above the old one.

  • As the old one is still yet to expire in this scenario just make sure to select the exemption of 'None' when producing an NHS treatment plan.

🚨 Important: It is possible to delete an exemption using the red delete button to the right of an exemption. However, you can ONLY do this if it has been added to a patient in error.

You CANNOT delete an exemption if it has been used on an NHS claim in the past. Therefore, you will need to update as above if the exemption is no longer valid.
