Moving a clinical note
If a clinical note has been created against the wrong appointment, you can move it to the correct one without losing any of the content. This works for both locked and unlocked notes.
How do I move a note to a different appointment?
Open the patient record and locate the note you need to move.
Click the three-dot menu icon on the note.
Select 'Move note'.
Choose the treatment plan and appointment you want to move the note to.
Confirm the move.
The note will now appear under the appointment you selected.
Please note: You can only move a note to an appointment that does not already have a note attached to it. If the destination appointment already has a note, it will not appear as an option in the list.
How do I move a note when both appointments already have notes?
If you need to move a note but the destination appointment already has a note, you will need to use a workaround involving a temporary third appointment. This is an involved process and is only needed in cases where notes have been created in the wrong place for the patient.
Create a new appointment in the patient's treatment plan to use as a temporary holding place.
Click the three-dot menu icon on the first note you want to move.
Select 'Move' and move it to the new temporary appointment.
Click the three-dot menu icon on the second note.
Select 'Move' and move it to the now-empty original appointment.
Click the three-dot menu icon on the note in the temporary appointment.
Select 'Move' and move it to the correct appointment.
Reorder appointments as needed.
The notes will now appear under the correct appointments and you can remove the temporary appointment if it is no longer needed using the 'Delete appointment' button.
Additional FAQ's for moving/deleting notes
This process requires creating a temporary appointment to act as a holding place, which cannot be avoided when both target appointments already have notes.
Reordering appointments after moving notes ensures the treatment plan remains in the correct sequence.
If you are unsure which appointment a note belongs to, check the note content before moving to avoid further errors.
Can I move a note to a different patient's record? No - notes can only be moved between appointments within the same patient's treatment plan. If a note has been created on the wrong patient's record entirely, it cannot be moved. Create the correct note on the right patient's record, you could even copy and paste the note content over if you have already completed the note. Add an amendment to the note stating that it is invalid, or ask a level 4 admin user to delete the note saved against the the wrong patient.
Can I move a note that has already been locked? Yes - the move function works on both locked and unlocked notes.
What if I created a note with incorrect information? If a note is incorrect or invalid, open the note and add an amendment clearly stating what part of the note wrong. Or level 4 admin users can delete notes if needed.
