Can I reopen a treatment plan?

πŸ“ Please note: You must be a level 3 user or above to be able to reopen treatment plans.

You can reopen a treatment plan, even if an Individual Treatment Report (ITR) has already been generated, so that you can correct errors and resubmit to the Ministry of Health (MoH).

Reopen from the claim management tool:

  • Navigate to the claim management tool.

  • If the claim is eligible to be re-opened, click the three dot menu to the right of it and select 'Re-open treatment plan'.

  • You will see a confirmation message - click 'Yes'.

  • The treatment plan will reopen in the patient's chart.

  • Depending on the treatment plan's claim status when you reopen it, additional actions may occur. See more details below.

Reopen from the patient record:

  • Navigate to the patient's chart screen.

  • If the treatment plan is eligible to be reopened, you will see a 'Re-open treatment plan' button at the bottom.

  • You will see a confirmation message - click 'Yes'.

When can I reopen a treatment plan?

An entry is eligible to be reopened if the claim status is:

  • Claim not created - treatment report is removed from list of claims, ITR document is deleted from the patient's 'Correspondence' tab

    • The treatment plan is reopened in the patient's chart.

    • Once it is completed again, a new ITR will be generated, with the claim status 'Claim not created'. It can be submitted to MoH as a new claim.

  • Action required - original report remains in the claim management tool and in the 'Correspondence' tab are marked 'Re-opened'. This report is locked and cannot be edited further.

    • The treatment plan is reopened in the patient's chart.

    • Once it is completed again, a new ITR will be generated, with the same treatment plan ID, patient and dentist, with the claim status 'Claim not created'. It is linked to the original reopened ITR, but can be bundled with other new ITRs, and it can be submitted to MoH as a new claim.

  • Rejected - original report remains and is marked 'Re-opened'

If the entry does not have one of the above statuses, reopening may not be possible, and you will see a warning message explaining this.

  • Ready to submit - cannot be reopened as is, but if the claim summary is deleted first, it can then be reopened

  • Submitted - not possible to reopen, claim is in transit to MoH

  • Submitted manually - not possible to reopen, claim is in transit to MoH

  • Paid - not possible to reopen, claim is final

πŸ’‘ Top tip: If MoH has paid less than the claimed amount (for example, $80 of a $100 claim), the claim is still considered 'Paid' and cannot be re-opened. To claim for the unpaid portion, create a new course of treatment.
