How to block communications from certain contacts

Can I block communications from a particular patient?

If your practice, or a member of your team, is receiving unwanted communications from a particular person, you can block their email address or phone number. This will reduce your team's exposure to unwanted or abusive communications, and can enable you to comply with any legal obligations.

There are a number of ways you can block a number or email address.

From the inbox:

  • Navigate to your inbox.

  • Use the checkbox on the left to select all correspondences whose sender you want to block.

  • Click the 'Block contact' section (the circle with a line through it), next to the archive button.

  • You will see the contact details, and the patient they are associated with (if applicable). If you selected multiple correspondences, you'll see all details listed here.

  • Add the reason, and choose whether you wish to hide existing communications from this contact.

  • Click 'Block Contact' to confirm. You can edit or delete it later if your circumstances change.

From your settings:

  • Navigate to 'Settings' > 'Contacts' > 'Blocked'. Here you can view, edit and delete existing blocked entries, as well as adding new ones.

  • Click 'Block Contact'.

  • In the window that appears, select 'Phone' or 'Email'.

  • Enter the details accordingly. You can include a reason.

  • Choose whether you wish to hide existing communications from this contact.

  • Click 'Block Contact' to confirm. You can edit or delete it later if your circumstances change.

From the patient record:

  • Navigate to the patient record, and open the 'Details' page.

  • Click 'More' and select 'Block contact'.\

  • Select the contact methods you wish to block, from the list of all the contact methods which are saved for that patient.

  • Add the reason, and choose whether you wish to hide existing communications from this contact.

  • Click 'Block Contact' to confirm. You can edit or delete it later if your circumstances change.

๐Ÿ’ก Top tip: You can also open any correspondence in the inbox or in a patient record and click the block icon to block the contact.

How do I see which contacts are blocked?

For any patient you block, you will see a reminder at the top of the 'Correspondence' tab in their patient record, so everyone in your team is aware. Outbound messages to blocked contacts will not be delivered.

You can view all your blocked contacts in 'Settings' > 'Contacts' > 'Blocked'. You will see the contact details, the patient associated (if applicable), the reason, who blocked them, and the date they were blocked.

Click the edit icon to edit an existing blocked contact. From here you can also unblock them.
