How to record Ministry of Health (MoH) details for patients who are under 18

How do MoH claims work in Dentally?

We can support claims for the following Ministry of Health (MoH) services:

  • OHSA (Oral Health Services for Adolescents)

  • SDS (Special Dental Services for Children and Adolescents)

You must register all under 18 patients' MoH details in their patient record, in order to make claims.

When you complete treatments for MoH patients, you can then manage their claims within Dentally.

How do I add MoH details to a patient's record?

When adding MoH details to a new or existing patient:

  • Go to the 'Details' page of the patient record.

πŸ’‘ Top tip: Some of these fields won't show as compulsory, because for over 18s they won't be, but for under 18s, each of the fields below is mandatory in order to make MoH claims.

  • Ensure their date of birth is entered, and that it reflects that they are under 18. If they are over 18 and you try to enrol them with MoH, you will see an error message.

  • Complete the 'Fee schedule' field. You can select from:

    • OHSA - MoH

    • SDS - MoH

    • Do not select 'Private', or any other fee schedule, as all under 18s should fall under one of the options above.

  • Next, ensure the 'School' field is completed. Start typing either the school's name or code, and select from the list of institutions that appears.

    • If the patient is homeschooled, select 'Not attending school'.

  • In the 'NHI number' field, enter the patient's own number.

  • For the 'MoH enrolment' field, click 'Create' to generate a new enrolment form.

    • Select 'New enrolment' if the patient has never been enrolled with a practice before, or select 'Change of practice' if the patient is switching from another practice to yours.

    • The NHI number should populate automatically if you have already added it in the corresponding field in the 'Details' screen. If not, enter it here.

    • Enter the school year and legal guardian.

    • Click 'Create' - the form will be generated, auto-populated with the details you provided.

    • Once saved, it will appear in the patient's 'Details' tab underneath the 'School' field, and also in the 'Correspondence' tab.

  • Ensure you click 'Save' in the top right of the 'Details' tab to record complete the enrolment.

πŸ“ Please note: The MoH service you select for the patient will dictate which treatment items are available to chart for the patient, and the cost for services may differ. If you try to chart a treatment that's not available for that fee schedule, you will see an error message. If you still wish to proceed, you'll need to switch to the correct service, chart the item and then switch back.
