How to allocate or unallocate a payment

๐Ÿ’ก Top tip: It is important first to understand when allocating/unallocating a payment is useful, and how automatic allocations work.

How do I unallocate a payment?

๐Ÿ“ Please note: Users on certain versions of Dentally will have the option to add a practitioner when processing a payment. If you do this, and then you later need to amend it, you will have to delete and redo the payment.

  • Navigate to the patient's account screen, and find the allocated payment you wish to unallocate.

  • If you are viewing the payment in the 'Invoices' tab (by finding the relevant invoice, clicking the chevron arrow on the left to expand it and viewing the payment there), click the three dot menu to the far right of it, and you will see the 'Unallocate' option.

  • If you are viewing the payment in the 'Payments' tab (by finding the relevant payment, clicking the chevron arrow on the left to expand it and view the details), you will see the 'Unallocate' button to the far right of the payment.\

  • Click the 'Unallocate' button wherever you are.

  • You will be prompted to confirm you definitely want to unallocate the payment.

  • Click 'Unallocate payment' and the payment will now show as unallocated - you can allocate it to a different invoice, convert it to a deposit, or leave it as unallocated.

๐Ÿ“ Please note: It is not possible to transfer a payment from one patient to another. If a payment has been taken on the wrong patient file, you will need to remove the payment from the incorrect patient and enter the payment again on the correct patient.

How do I allocate a payment?

To allocate a payment:

  • Navigate to the patient's account screen, and find the unallocated payment you wish to allocate.

  • Click the three dot menu to the right of the payment. You will see two options:

  • If you select to allocate to an invoice, you will be prompted to select the amount to allocate (this defaults to the total payment amount), and which invoice you wish to allocate it to.

  • Add the details and click 'Allocate payment'.

  • It will then appear under the invoice as an allocated payment.

  • If the amount allocated matches or exceeds the amount on the invoice, the invoice will then be marked as paid.

  • If you allocate the payment in error, you can unallocate it and reallocate it.

๐Ÿ’ก Top tip: A patient's account might be different than expected if the overall takings for the patient are more than what has been charged, or that something hasn't been charged/too much has been entered in the payments. To resolve this issue, review the patient's transactions and ensure that all charges and payments have been entered correctly.
