What are data tags?
Data tags (also known as merge fields) can be used to automatically insert information into your patient communications - such as the patient's name, appointment time and practice details.
A data tag uses square brackets, like this: [date_today]
.
When you include a data tag in a correspondence template, Dentally pulls in the relevant information automatically.
You can view all existing data tags, and copy as needed, while writing or editing a correspondence template, using the 'Show available data tags' button.
๐ก Top tip: When creating or editing templates via Practice > Settings > Patient Communications, youโll see merge fields (tags) beginning with [appointment_...]
. These can be used in automations triggered by appointments โ such as appointment reminders or confirmations.
How do I use appointment-related tags correctly?
We can only populate appointment-related data tags (like [appointment_time]
) correctly if we know what appointment is being referred to.
Appointment tags will correctly populate if:
You send a correspondence by right clicking an appointment in the calendar and clicking one of the options to send a message - it will populate with details of the appointment you have right-clicked.
You send automated appointment reminders - it will populate with the details of the appointment that triggered the reminder.
If you send a message from within the 'Correspondence' tab, appointment-related data tags won't know which appointment to pull from (eg. if the patient has multiple upcoming appointments). In this instance, use the [patient_next_appointment]
data tag instead. This tag always works from anywhere, because Dentally can always see the patient's next appointment.
๐ Please note: For practices using Online Booking with Dentally Portal, you can add an online booking data tag to your templates, to allow patients to book their recall appointments online
Use the [patient_recall_booking_link]
tag as needed.
This can be used to replace generic Portal login links which will cut down significantly on the actions required by the patient to book their upcoming appt. By understanding when and how data tags operate in Dentally, you can optimize your correspondence and minimise confusion or errors.
