How to view and manage in-group referrals you have received

I have been sent an in-group, how do I view it?

If you are part of a multi-site or enterprise group, other practices within your group can send you referrals. When in-group referrals are sent, the receiving practice can access the patient record and referral details, in order to support their continuing care - even if you did not previously have access to that patient.

If your practice receives a referral from another in-group practice, and you get access to a patient:

  • The patient will now appear in searches

  • An orange label will be visible (next to their name in searches, and at the top of their patient record), confirming they are referred

  • The patient's original location will be displayed (next to their name in searches, and at the top of their patient record)

This makes it easy to see that the patient is not part of your normal registered patient list, but is referred and fully visible.

๐Ÿ“ Please note: If your practice already had access to the sending site's patients (because of your permissions), the patient will appear normally, without the referral indicators.

You can access the patient in the same way you would any other patient. To view the referral, navigate to their chart and click 'View referral' on the relevant treatment plan.

๐Ÿ’ก Top tip: In order to receive referrals from other in-group sites, at least one practitioner at your location must have recorded at least one specialism.

How is the status updated for in-group referrals?

When a practice sends the in-group referral, the status of the referral will start out as 'Received'. The sending practice cannot change the status, but you should update it to communicate the status of the referral to both your team and the sending practice.

  • If you are willing to take on the treatment, change it to 'Accepted'. If you are not willing to accept the treatment, change it to 'Rejected'.

  • In both cases, the sending practice will be able to see it has been accepted (as well if you continue to update the status in future).

  • For accepted referrals, update the status as the patient treatment progresses. - after 'Accepted', you can change it to 'Booked' and 'Completed' (or you can change it to 'Rejected' at any time).

  • If you change the status to anything other than 'Received', it cannot be changed back to 'Received', and if you change it to 'Rejected' you cannot change it to any other status (as at this point, the sending practice might have communicated the outcome to the patient).

At the moment, if a practice refers a patient to you, the sending practice will need to contact you to let you know - the patient details will appear automatically in your system, but you won't be alerted to look out for them unless the sending practice tells you. We are developing a patient referrals report which will alert you to incoming referrals, and will collate all incoming and outgoing referrals in one place.
