Want to tailor your note templates to your own workflow? Here's how to duplicate an existing template and make it your own โ€” whether itโ€™s one provided by Dentally or one your team already created.

Step-by-Step: Copying a template

  • Navigate to 'My Account' and select 'Template Notes'.

  • Browse the list to locate the template you'd like to customise.

  • Click on the template name to open it in preview/edit mode.

  • Copy the text from the 'Note' section.

๐Ÿ’ก Top Tip - To copy and customise Dentally's AI optimised templates, Navigate to the AI Note tab in the clinical side bar of any patient. Choose the AI Adult/Child Exam note template from the template section. Then select the template and copy it from here. As these are Dentally's built in AI templates, they will NOT display under your templates in your settings.

After copying the template, Navigate to 'My Account' and select 'Template Notes'. Then carry on from the step below.

  • Click on 'New note' in the top right.

  • Give the duplicated template a new name so you can easily identify it later.

  • Make your edits as needed - Adjust sections, brackets, bullet points, and fixed text as needed. Use the clinical notes best practice guide to structure your template for the best results when using clinical AI notes.

  • Click 'Save' to add it to your account templates. Itโ€™s now ready to use and share with your team if needed.

๐Ÿ“ Please note - Templates must be ticked to "Show on AI Notes" for them to appear in your clinical AI notes side panel when dictating. This can be ticked from the same settings location for individual users.

Level 4 admin users can navigate to "Settings" - "Templates" - "Notes" to make practice wide changes to shared templates.


Why copy instead of starting from scratch?

Starting from an existing template gives you:

  • A reliable base structure

  • Built-in formatting for AI use

  • Less chance of missing key sections

  • Faster setup


Tips for editing templates for clinical AI notes

  • Use clear headings (e.g. Chief Complaint)

  • Include bracketed options (e.g. [None / Mild / Severe])

  • Add bullet points or numbering for lists

  • Write recurring phrases exactly how you want them to appear
